This notice concerns important details that need your attention for the AAA 2009 Asia-Pacific Conference in Beijing, China on May 27-30, 2009.

 

I. Preliminary Program   

 

An updated preliminary program is posted at the conference section of the website.

Please review and plan your presentation accordingly.

 

II. Conference Proceedings and Program Brochure 

 

As in the past, we will publish a CD of the conference proceedings and a print brochure of the conference program with author bios and abstracts of all presentations. We will do these in advance, so they will be available for all attendees at the conference.

 

In preparation of these publications, we ask you to do the following by April 15, 2009:

 

1.     Abstract.  Contact author should email the event co-chair Dr. Hairong Li an abstract of your paper or your special topics session for the print copy of the conference program. Please include your last name and your session number in file name and email subject, as “abstract_doe_3.2” for John Doe in Session 3.2.

 

2.     Bio. Contact author should coordinate so that all authors of your paper and special topics session will email a bio to event co-chair Dr. Hairong Li. The bio should be 200 words or less in length. Please include your last name as file name and email subject, as “bio_doe”

 

3.     Full-length paper. Contact author should email event co-chair Dr. Hairong Li the full-length paper for the conference proceedings. Please include your last name and your session number in file name and email subject, as “paper_doe_3.2”. If you choose not to publish the full-length paper, please indicate so by e-mail. In this case, your abstract used in the print brochure will be published in the conference proceedings.

 

4.    Special topics. Moderators of special topics sessions should submit a summary a summary of the panelists' presentations. Bios of panelists may be included in the summary submission.  

 

The AAA policy states that a paper will not be published in the conference proceedings if it is not presented by one of its authors. The Asia-Pacific Conference follows this policy. So, please tell co-chair Dr. Hairong Li in advance if none of the authors of your paper can attend to present.

 

III. Abstract and Paper Formats and Languages 

 

We will use the AAA EC-approved formats for the annual conference proceedings. The format templates for abstracts, full-length papers, and special topics as well for tables and references of all submission types are available at the AAA Web site. All files should be saved in Word format (not PDF).

The conference will use both English and Chinese in presentations. Therefore, we plan to publish the program with abstracts and author bios in both languages. So, please translate your abstract and bio into Chinese, and save it on the same file as the abstract or bio in English for email submission. 

 

We suggest asking Chinese students in your program for help. If you have difficulties in getting assistance with the translation, contact co-chair Dr. Hairlong Li , two weeks prior to the submission deadline of April 15, 2009The full-length papers for the conference proceedings will be published in English only; no Chinese translation is needed for full-length papers.

 

IV. PowerPoint Presentations 

 

Each paper will have 15 minutes for presentation. We would like your PowerPoint to be in both English and Chinese for attendees who cannot understand English. We have student translators for each session to facilitate communication.

 

V. Session Moderators 

 

Unlike past events, authors need not send their full-length papers to session moderators prior to the conference.

 

VI. Chinese Visa 

 

U.S.  passport holders will need a visa to enter China. Because the Chinese Embassy and Consulates General do not accept mail applications, applicants can either go to the China Embassy in Washington, DC or one of the Consulates General (New York, NY; Chicago, IL; San Francisco, CA; Los Angeles, CA; Houston, TX) to apply in person or use a visa service to handle the application. Applicants must print an application form from this website.

 

When filling out the form, check “Tourism” for Item 2.1, Major Purposes of Your Visit to China, which is the type that requires minimal documentation. For Item 4.7, Contact Name, write “Sophia Tseng;” for Item 4.8, Phone Number, write “(10) 6578-3066;” for Item 4.9, Address, write “Communication University of China College of Advertising.”

A personal or cashier check of $160 ($130 for the application fee and $30 for the handling fee of the visa service) per regular application, payable to Gateway Travel, should be sent along with the application form and a valid passport (six months prior to expiration and a few empty pages for placement of the Chinese visa and entry stamps). A pre-stamped (not metered) return envelope (USPS, UPS or FedEx) should be included in the mailing to the visa service so that your passport with the visa can be returned to your address. For security purpose, sending via certified mail is suggested for both ways.

 

Regular applications take 3-4 days to process at the Chinese Embassy or Consulates, and mailing takes 2-3 days each way. So, please apply at least one month prior to the departure. Express applications are available at extra costs.
